Job Overview We are actively seeking a detail-oriented and highly organized Part-Time Administrative Assistant to become an integral member of our dynamic team. This role is particularly suited for individuals with experience in QuickBooks invoicing, administrative support, and school transportation contracts. With flexible work arrangements available, including the possibility of working fully or partially remotely, this position offers an exceptional opportunity to contribute to our operational success and efficient financial management. Key Responsibilities • Generate and dispatch invoices to clients utilizing QuickBooks, ensuring meticulous accuracy and timeliness. • Monitor payment statuses and proactively follow up on overdue invoices. • Maintain comprehensive records of invoicing and payment histories. • Communicate with school districts regarding potential contracts and bids. • Oversee scheduling for students and drivers to guarantee adequate shift coverage. • Respond promptly and professionally to emails and phone inquiries. • Coordinate and schedule meetings and appointments for the team. • Prepare and manage spreadsheets, reports, and various documents. • Organize meetings and accurately record minutes. • Draft and disseminate emails, memos, and letters as necessary. • Assist in developing and refining office procedures to enhance operational efficiency. Required Skills • Proficient in QuickBooks and invoicing methodologies. • Strong organizational and time management abilities, with a knack for task prioritization. • Excellent communication capabilities and a professional demeanor. • Familiarity with office equipment (e.g., printers, fax machines) and software tools (Microsoft Word, Outlook, PowerPoint). Qualifications • High school diploma or GED required; an Associate’s degree or relevant administrative training is preferred. • Prior experience in an administrative role or as an Administrative Assistant.
