Job Overview We are thrilled to present a contract-to-hire position for a detail-oriented and proactive Administrative Assistant, based remotely with occasional in-office engagements in the scenic city of Irvine, California. This role is essential for providing comprehensive administrative support in a vibrant and dynamic hybrid workplace... Key Responsibilities • Calendar Management: Efficiently manage and organize calendars, schedule appointments, and handle email communications as part of your executive support duties. • HR Administration: Support various human resources functions, including maintaining employee records and assisting with payroll operations. • Office Administration: Supervise office management responsibilities, encompassing bookkeeping and general office operations. • Technology Utilization: Leverage different technology platforms, such as CRM and database systems, to oversee documentation and enhance workflow efficiency. • Customer Service: Deliver exemplary customer service by responding to inbound calls, managing email inquiries, and addressing customer concerns promptly. • Data Entry: Perform accurate data entry and maintain meticulous customer credit records. • Software Proficiency: Employ Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) alongside software like QuickBooks and Salesforce for various administrative tasks. Required Skills • Proficient in Microsoft Office Suite, particularly Excel, Outlook, PowerPoint, and Word. • Familiarity with QuickBooks and Salesforce is advantageous. • Strong customer service abilities with experience in handling calls and emails. • Demonstrated proficiency in data entry and maintaining effective email correspondence. • Capability to efficiently schedule appointments and manage multiple calendars. • Excellent verbal and written communication skills. • Exceptional organizational skills and meticulous attention to detail. • Ability to manage multiple tasks concurrently and prioritize effectively. Qualifications • A minimum of 2 years' experience in an administrative capacity or a similar role. • High school diploma or equivalent is required; further education or relevant certifications are preferred.
