Our licensed online mental health therapists support students, parents, schools, and private-pay clients via live video conferencing. Our team of highly trained social workers, school counselors, and therapists delivers essential therapy sessions to K-12 and college students through our school partnerships. Additionally, we support Employee Assistance Programs (EAP), businesses, families, and individuals. We are committed to quality, precision, and timely service in all of our operations, including our billing and payroll processes. Position Overview: The Billing and Payroll Assistant is responsible for managing billing and payroll tasks with a focus on precision and timeliness, especially during end-of-month (EOM) activities. This role requires an organized professional who can work independently, handle multiple responsibilities, and meet strict deadlines. Key Responsibilities: • Payroll Processing: Accurately input payroll data and verify for consistency. • Invoice Review: Check staff invoices for accuracy and compliance. • QuickBooks Data Entry: Enter and reconcile transactions in QuickBooks. • Data Reconciliation: Compare QuickBooks entries with EHR (Electronic Health Records) to ensure accuracy. • Invoice Creation: Prepare and manage invoices in Excel, Google Docs, and QuickBooks. • Report Generation: Generate financial and billing reports as needed. • End-of-Month (EOM) Tasks: Focused work from the 1st to the 10th of each month for billing and payroll completion. • Credit Card Processing: Run credit card transactions and oversee accounts receivable. • Contract Management: Draft and send contracts to clients and staff. • Coordination with Bookkeeper: Collaborate closely with the bookkeeper to ensure accurate and complete financial records. Qualifications: • Experience: Previous experience in billing, payroll, or an administrative role. • Mental Health Field Experience: Experience working in the mental health field is preferred. • Technical Skills: Proficiency in Excel, Google Docs, and QuickBooks preferred. • Attention to Detail: Strong accuracy in data entry and document review. • Deadline-Oriented: Able to meet strict deadlines, particularly at month-end. Schedule & Compensation: This position is remote and flexible, with the majority of work concentrated around the 1st-10th of each month. Rate: 20+ per hour. Compensation is based on a variety of factors as there is room to grow in this role.
