Position Summary

We are currently hiring a Remote Data Entry Clerk – Administrative Support Specialist to join our dedicated team of professionals. This fully remote opportunity offers the flexibility to work from home while contributing meaningfully to our client services operations. In this role, you will be responsible for accurately updating and maintaining information within our internal databases, ensuring the integrity of client files, and providing essential administrative support to the broader team.

Key Responsibilities

  • Preparing comprehensive documentation for filing, including all associated correspondence and supporting materials required for the administration of client files.
  • Obtaining all proper supporting information and documentation to ensure the proper and efficient administration of files, including but not limited to income documentation, tax filings, and asset realization records.
  • Responding in a timely and professional manner to ongoing queries and requests from creditors, debtors, and other stakeholders involved in the debt resolution process.
  • Liaising with the administration team to assist in obtaining information, documentation, and following up on complex issues where input and interpretation are required. This includes utilizing Microsoft Dynamics CRM to extract file details and information efficiently.
  • Preparing and reviewing files for completeness, ensuring all required documents are present and following up on outstanding documentation as needed.
  • Liaising with internal clients to clarify information, resolve issues, and ensure smooth workflow operations.
  • Organizing file documents in strict accordance with arenaflex naming protocols and document management standards.
  • Performing accurate calculations of income and surplus income obligations for client files.
  • Understanding and applying the relevant legal requirements of multiple provincial jurisdictions across Canada.
  • Performing relevant legal requirements and procedures for multiple provincial jurisdictions, ensuring full compliance with applicable regulations.
  • Conducting searches related to insolvency, Personal Property Security Act registrations, house valuations, and computation of realizable value to support file administration.
  • Creating all documents required for client and creditor signatures, ensuring accuracy and compliance with company policies.
  • Reviewing sign-up documents for accuracy, policy compliance, and filing requirements with the Official Receiver (OR) when applicable.
  • Accurately transferring pertinent information from written and scanned records into Ascend, arenaflex’s proprietary internal software platform.
  • Maintaining client confidence and protecting operations by keeping all sensitive information strictly confidential.
  • Liaising with external clients to clarify outstanding documentation and address any questions or concerns.
  • Performing electronic filing of statutory documents in accordance with regulatory timelines.
  • Preparing documents for electronic signature through DocuSign and ensuring all documents are properly executed and stored.
  • Reviewing amended proposals and ensuring all revisions are accurately documented and processed.
  • Performing other related tasks and administrative duties as assigned by management.

Essential Qualifications

  • Proven Data Entry Experience: Demonstrated experience performing high-volume data entry with a proven track record of exceptional accuracy and reliability.
  • Exceptional Attention to Detail: A meticulous approach to work with the ability to spot errors, inconsistencies, and discrepancies in documentation and data.
  • Strong Organizational Skills: Outstanding organizational and prioritization abilities, with the capacity to manage multiple files and tasks simultaneously in a deadline-driven environment.
  • Technical Proficiency: Proficient technical skills with demonstrated familiarity with the Microsoft Office Suite, including Outlook, Excel, and Word. The ability to learn new computer software quickly is essential.
  • Independent Worker: The ability to work independently and efficiently with minimal supervision while maintaining productivity and quality standards.
  • Communication Skills: Strong written and verbal communication skills with the ability to convey information clearly and professionally to colleagues, clients, and external stakeholders.
  • Interpersonal Skills: Good interpersonal skills with the ability to speak and deal effectively with other staff members, clients, and external partners.

Preferred Qualifications and Assets

  • Experience with Microsoft Dynamics CRM is considered a strong asset.
  • Prior experience in legal, financial, or administrative environments is highly desirable.
  • Familiarity with debt resolution, insolvency, or financial services processes is a plus.
  • Experience working with DocuSign or similar electronic signature platforms.
  • Knowledge of provincial legal requirements related to debt and insolvency across Canadian jurisdictions.
