The Executive Assistant Role: Key Responsibilities As an Executive Assistant at Omnipresent, you will be the backbone of our leadership team, providing exceptional administrative support, project management, and coordination across multiple time zones. Your key responsibilities will include:

  • Managing the CEO's calendar, scheduling meetings across multiple time zones, and ensuring seamless day-to-day operations.
  • Coordinating travel arrangements, including flights and hotel bookings, for the CEO and Senior Leadership Team.
  • Providing ad hoc support to the CEO, Senior Leadership Team, and colleagues worldwide, demonstrating a proactive and creative approach to problem-solving.
  • Assisting in the planning, scoping, and management of executive-level initiatives, ensuring timely and effective execution.
  • Preparing regularly scheduled reports, logistics, and other materials for the leadership team, showcasing your attention to detail and organizational skills.
  • Maintaining and improving administrative processes, ensuring efficiency and best practices in a remote work environment.
  • Designing, implementing, and refining processes for remote office and operations management, driving continuous improvement.
  • Planning and organizing events, including in-person offsites, workshops, and remote events across multiple time zones, demonstrating your versatility and event management expertise.
  • Performing general office management duties, such as managing company swag, invoices, expenses, and other ad hoc tasks, showcasing your ability to multitask and adapt.

Requirements and Qualifications: What We're Looking For To excel as an Executive Assistant at Omnipresent, you should possess:

  • Proven experience in an office management or operations role within a remote or startup environment, demonstrating your ability to thrive in a fast-paced, dynamic setting.
  • Excellent administrative and organizational skills, with a keen attention to detail, diligence, and accuracy.
  • Demonstrable experience working at an executive level, supporting senior management teams, and navigating complex priorities.
  • Strong written and verbal communication skills, with the ability to effectively collaborate with global teams and stakeholders.
  • Proficiency in Microsoft Office, G Suite software, and other computer systems, showcasing your tech savviness and adaptability.
  • Numerical skills and familiarity with basic financial documentation, such as purchase orders, invoicing, and accounts.
  • Experience in a customer-service oriented environment, with a focus on delivering exceptional support and managing budgets.
  • Proven ability to collaborate with external vendors, manage contract negotiations, and ensure high-quality service delivery.
