Position Overview

We are seeking a detail‑oriented, self‑motivated Remote Healthcare Data Entry Specialist to join our dynamic medical‑records team on a 4‑6 month contract. This role is 100 % remote, offering flexible work‑from‑home arrangements while maintaining a structured, EST‑based schedule (Monday – Friday, 8:00 AM – 5:30 PM). The specialist will be responsible for processing a variety of medical documents—such as Independent Medical Reviews—extracting critical data, and accurately entering that information into our secure electronic database using Microsoft Excel and Word.

Key Responsibilities

  • Review and interpret incoming medical documents, ensuring all required fields are captured.
  • Extract patient‑specific data, diagnosis codes, treatment details, and other relevant information with a focus on accuracy.
  • Enter extracted data into the designated electronic database, adhering to formatting standards and data‑entry protocols.
  • Collaborate with fellow coordinators and supervisors to resolve ambiguities, answer client inquiries, and maintain a smooth workflow.
  • Apply critical‑thinking techniques to determine next steps when documentation is incomplete, and proactively reach out to clients or providers via phone to obtain missing information.
  • Maintain a high level of productivity in a metrics‑driven environment, meeting daily, weekly, and contract‑wide performance targets.
  • Provide courteous, professional customer service when interacting with clients, healthcare providers, and internal team members.
  • Document all communications, decisions, and data‑entry actions in the system to ensure traceability and compliance.
  • Continuously improve processes by sharing feedback and suggestions with the team lead.

Essential Qualifications

  • High School Diploma or equivalent (GED accepted).
  • Minimum of one (1) year of proven remote work experience, demonstrating reliable self‑management and time‑keeping.
  • Strong proficiency with Microsoft Office Suite—especially Excel (including formulas, pivot tables, and data validation) and Word.
  • Reliable high‑speed internet connection and a personal computer or laptop (no Chromebooks) that meets arenaflex’s security standards.
  • Excellent written and verbal communication skills, with the ability to convey complex medical information clearly.
  • Demonstrated ability to work independently while also thriving in a collaborative, virtual team environment.
  • Comfort with a metrics‑based performance model and a track record of meeting or exceeding productivity quotas.

Preferred Qualifications

  • Previous experience in healthcare, medical billing, insurance claims, or related fields.
  • Familiarity with medical terminology, ICD‑10 coding, and HIPAA compliance standards.
  • Experience using electronic health record (EHR) systems or specialized data‑entry platforms.
  • Certification in medical transcription, health information management, or a related discipline.
