Position Overview

arenaflex is seeking a meticulous and dependable Remote Data Entry Specialist to support our pharmaceutical client operations team. This role is essential to maintaining the integrity of our digital databases, ensuring that customer and client records are accurate, current, and properly organized. You will play a vital part in translating information from physical documents into structured digital formats, updating order statuses, and double-checking every entry to guarantee that no detail is overlooked.

Key Responsibilities

  • Create and Maintain Spreadsheets: Design, build, and regularly update spreadsheets that track important client information, ongoing orders, shipping statuses, and other mission-critical operational data for arenaflex and our pharmaceutical partners.
  • Transfer Data from Hard Copy to Digital Systems: Carefully input information from paper documents—including order forms, client intake sheets, and shipping manifests—into digital databases with a high degree of accuracy.
  • Update Client Information: Modify and refresh existing records in our database whenever clients change addresses, contact details, order preferences, or account status, ensuring that every team member working with that record sees current information.
  • Organize and Structure Existing Data: Review previously entered data and reorganize it within spreadsheets and databases to improve accessibility, readability, and long-term usability.
  • Verify Outdated Data: Proactively identify records that may be stale, inaccurate, or incomplete, and make the necessary corrections or flag them for supervisor review.
  • Update Order Statuses: Monitor customer order pipelines and update status indicators (pending, processing, shipped, delivered, returned) so that internal teams and clients always have accurate, real-time visibility.
  • Double-Check All Work: Conduct thorough self-reviews of every data entry task before submission, ensuring that typos, transposed numbers, and misfiled records are caught and corrected before they reach downstream systems.
  • Support Customer Service Operations: Collaborate with the customer service team by retrieving, verifying, and occasionally communicating client order information as needed.
  • Maintain Confidentiality: Handle sensitive pharmaceutical and client data in full compliance with company privacy standards and applicable regulations.

Essential Qualifications

  • Proven Experience as a Data Entry Clerk or Similar Role: Demonstrated history of accurate, reliable data entry work—whether in a previous office setting, freelance capacity, or formal employment.
  • Accurate Typing Skills: A typing speed of at least 45 words per minute with a very low error rate is expected. Speed matters, but accuracy matters more at arenaflex.
  • Proficiency with Word Processing and Spreadsheet Tools: Working knowledge of Microsoft Office Word, Excel, Google Sheets, and Google Docs is required. Comfort with formulas, basic formatting, and file management is essential.
  • Familiarity with Office Equipment and Software: Understanding of printers, scanners, PDF tools, and basic troubleshooting helps in a remote environment where you may need to digitize hard copy materials independently.
  • Basic Understanding of Databases: Familiarity with relational databases, CRM platforms, or order management systems is a strong plus.
  • Strong Command of English: Excellent written and oral communication skills in English, with an eye for grammar, spelling, and clarity in every record you touch.
  • Exceptional Attention to Detail: The ability to spot a misplaced decimal, a transposed digit, or a misspelled name before it becomes a problem.
  • High School Diploma or Equivalent: A foundational educational credential is required; additional certifications in administration or data management are welcome.

Preferred Qualifications

  • Prior experience working in pharmaceutical, healthcare, or regulated industries
  • Familiarity with HIPAA guidelines or other data privacy frameworks
  • Experience with cloud-based platforms such as Salesforce, HubSpot, or similar CRM tools

  • Associate degree or coursework in business administration, information management, or related field
